Joining a bazaar or pop-up event? Learn how to organise a small booth with printed materials such as table-front banners, price boards, QR signs, product labels, vouchers, name cards and flyers so customers can understand your products quickly.

Canva Printing Guide

Quick Answer

Canva is useful for creating flyers, stickers, menus, vouchers, posters, cards and simple promotional materials. However, a Canva design is not automatically print-ready.

Before sending your file to a printing shop, check the final size, bleed, safe margin, image quality, QR code, export format and file name. For most physical printing jobs, download your Canva design as PDF Print, not screenshot.

Why Printing Shops Sometimes Reject Canva Files

Printing shops usually do not reject Canva designs because they dislike Canva. They reject files when the artwork is not suitable for production.

Common reasons include:

  • The file was sent as a screenshot.
  • The design size is wrong.
  • The image quality is too low.
  • The artwork has no bleed.
  • Text, logos or QR codes are too close to the edge.
  • The file was downloaded as a normal image instead of PDF Print.
  • Canva effects, layers or transparencies do not export properly.

A Canva design can be printed, but it must be exported correctly.

1. Start With the Correct Design Size

Before designing in Canva, set the correct size first. Do not design in a random template and resize later unless you are sure the final size is correct. A design made in the wrong size may look fine on screen but print incorrectly.

BUSINESS CARD

Common size: 90mm × 54mm

A5 FLYER

Common size: 148mm × 210mm

A4 FLYER

Common size: 210mm × 297mm

ROUND STICKER

Common size: 50mm, 60mm or custom diameter

STANDEE / EVENT BACKDROP

Size should follow the final display size or actual width and height.

PACKAGING

Size should follow the dieline or final structure.

For custom printing, always confirm the final size with the printing shop before designing.

2. Turn On Bleed and Crop Marks Before Exporting

Bleed is the extra artwork area outside the final cut size. It helps prevent unwanted white edges after trimming.

Simple rule: if your background colour, photo or design touches the edge, turn on bleed before exporting.

CANVA SETTING

How to Show Print Bleed in Canva

  1. Open your Canva design.
  2. Click File at the top-left corner.
  3. Go to Settings.
  4. Click Show print bleed.
  5. A dotted border will appear around your design.
  6. Extend your background colour, photo or graphic slightly beyond the dotted line.

EXPORT SETTING

How to Export With Crop Marks and Bleed

  1. Click Share at the top-right corner.
  2. Click Download.
  3. Under File type, choose PDF Print.
  4. Tick Crop marks and bleed.
  5. Click Download.

3. Keep Important Content Inside the Safe Area

Bleed protects the outer edge, but safe margin protects the important content. Do not place text, logos, QR codes, phone numbers or small details too close to the edge.

During trimming, there may be slight movement, so important content should stay safely inside the design. This matters especially for name cards, stickers, flyers, vouchers, product labels, menu cards, packaging inserts and event boards.

4. Download as PDF Print, Not Screenshot

Do not send screenshots to the printing shop. Screenshots are usually low resolution and not suitable for professional printing.

For most print jobs, download your Canva file as PDF Print. PDF Print is usually better for physical printing because it supports print-focused settings such as higher resolution, bleed and crop marks. Use PDF Print for flyers, cards, brochures, stickers, labels, menus, posters, vouchers, packaging inserts and simple standee artwork.

5. Use Flatten PDF When Your Design Has Many Layers

Some Canva designs include shadows, transparent elements, frames, gradients, stickers, AI images or many overlapping layers. These may sometimes display differently when opened by another system.

  1. Click Share.
  2. Click Download.
  3. Choose PDF Standard or PDF Print.
  4. Tick Flatten PDF.
  5. Click Download.

For printing, choose PDF Print + Crop marks and bleed first. Use Flatten PDF when your design has many Canva effects, layers or transparent elements.

6. Check Image, Logo and QR Code Quality

Canva can hold both high-quality and low-quality images. The final print quality depends on what you uploaded into the design.

Avoid using:

  • Screenshots from websites.
  • Blurry product photos.
  • Images saved from WhatsApp.
  • Low-resolution logos.
  • Small images enlarged too much.
  • AI images that are too small for large printing.

LOGO FILE

Use Better Logo Formats When Available

For logos, vector files are usually better when available. Better logo formats include SVG, PDF, AI and EPS.

QR CODE

Test Before Sending the File

If your Canva design includes a QR code, test it before sending the file. Check whether the QR code opens the correct link, is large enough, has enough white space around it, and is placed away from the cutting edge.

7. Avoid Too Many Last-Minute Canva Edits

If you keep editing after sending the file, the printing shop may need to check the artwork again. For urgent printing, prepare one final version and name it clearly.

GOOD FILE NAME

AVOID

8. What to Send to the Printing Shop

When sending your Canva design to a printing shop, include all important details in one message.

  • Final PDF Print file
  • Size and quantity
  • Product type
  • Material preference, if any
  • Finishing preference, if any
  • Deadline
  • Collection or delivery method
  • Canva link only if the printer requests it
“Hi, I need to print an A5 flyer, 500pcs, double-sided. Attached is the Canva PDF Print file with bleed. I need it by Friday 3pm for self-pickup. Please help check if the file is okay for printing.”

Canva Is Good for Some Jobs, But Not Everything

Canva is suitable for many common business printing needs, such as flyers, simple brochures, cards, menus, vouchers, stickers, labels, posters, small signs and social media to print designs.

But for more technical jobs, such as packaging dielines, complex die-cut stickers, large-format artwork with exact scaling, corporate brand guideline files, multi-page catalogues or special finishing, professional artwork support may be needed.

Why Local Printing Support Helps Canva Users

For Canva users, a local printing shop can help check whether the file is suitable before production.

This is especially useful for business owners, marketing teams and event organisers around Balakong, Seri Kembangan, Selangor and Kuala Lumpur who need flyers, stickers, labels, standees, event boards, packaging, vouchers or promotional materials.

Common Canva Printing Mistakes

1. Sending a screenshot instead of a print file.
Screenshots may look okay on your phone, but they are usually not suitable for clear printing.

2. Designing in the wrong size.
A design made in the wrong Canva template may need to be resized, cropped or rebuilt before printing.

3. Forgetting bleed.
If your background touches the edge but there is no bleed, white edges may appear after trimming.

4. Placing text, logo or QR code too close to the edge.
Important content should stay inside the safe area because trimming may have slight movement.

5. Using low-resolution photos or logos.
WhatsApp images, screenshots and small logos may become blurry when printed.

6. Not testing the QR code.
Always scan the QR code before sending the file. Check the link, size, white space and placement.

7. Making too many last-minute changes.
Every new version may need to be checked again. For urgent jobs, finalise one clean print file early.
